Efficient AP Analysis at Vibracoustic: Optimizing the Accounts Payable Process

With a global network of 40 locations in 17 countries and around 12,000 employees, fast and error-free payment processing is essential.

Challenge of a Heterogeneous System Landscape

Faced with a historically heterogeneous and fragmented system landscape that was accompanied by a lack of clarity about responsibilities and processes, it was essential for Vibracoustic to ensure transparency and consistency in the processing of payments. In close collaboration with Processand and Celonis, Vibracoustic identified improvement potentials in the Accounts Payable process within just three and a half months and initiated sustainable improvements as a strategic investment in the company’s future.

Insights through Process Mining

In addition, the analysis provided valuable insights into causes of delays, sources of errors, and potential risks. With this comprehensive understanding of process dynamics, Vibracoustic was able to make informed decisions for optimization. Then, together with Processand, strategic measures were developed and implemented to standardize and optimize the process. This data-based approach enabled Vibracoustic to improve operational processes in a targeted manner and further strengthen its competitiveness.
 

Improvements and Compliance

The implementation of Process Mining led to significant improvements in the Accounts Payable process. Additionally, the improved transparency helped not only to strengthen compliance with internal guidelines and external regulations but also to adapt and redefine internal guidelines. The successful introduction of Process Mining in the Accounts Payable process helped Vibracoustic optimize its operational workflows and further strengthen its competitiveness in the automotive industry. Progress has already been made in standardizing payment terms. Requirements and needs were carefully considered by Processand on both the functional and technical side in order to develop customized solutions. Particular attention was paid to the seamless integration of two SAP systems to enable comprehensive analysis and optimization. In addition, a special invoice processing system was integrated into the overall solution.
